01. Purpose
Havas is committed to protecting your privacy and personal data. In accordance with our General Data Protection Policy, we commit to processing your information transparently, confidentially, and securely, in strict compliance with applicable national and international regulations.
This data protection policy specifically applies to candidates applying for job opportunities at Havas and describes how we collect, use, and protect your personal data during our recruitment processes.
This policy applies to all subsidiaries of the Havas group in their capacity as data controllers, unless national legislation provides for specific rules.
For the sake of clarity, any reference to “we,” and “our” in this Privacy Policy refers to the entity offering the position you are applying for.
Our Privacy Policy does not extend to services provided by other companies acting on their own account, for professional services where you share information through social media or job platforms (e.g., LinkedIn, etc.). Any personal information you give them will be subject to their privacy policies.
02. Data Controller
The Havas entity processing your application is responsible for processing your personal data as data controller. 03. Definitions
- “Personal data”: Any information relating to an identified or identifiable natural person, directly or indirectly, as defined by the regulation.
- “Data subject”: A natural person whose personal data is processed by Havas.
- “Processor”: A natural or legal person that processes data on behalf of the data controller within the scope of a service or contract.
- “Website”: The Havas website accessible at www.havas.com.
- “Candidate space”: A user interface on the Havas career website requiring the creation of an individual account.
- “Processing”: Any operation or set of operations performed, whether automated or not, on personal data, such as collection, recording, organization, structuring, storage, adaptation, modification, retrieval, consultation, use, transmission, dissemination, or any other form of making available, alignment, combination, restriction, erasure, or destruction.
04. Data Collected
As part of our recruitment activities, we collect the following types of data:
- Identification information: First name, last name, civil status, signature, date of birth, country of residence;
- Contact details: Mailing address, email address, phone number.
- Professional data: CV, cover letters, academic and professional background, skills, certifications.
- Publicly available data: Professional information available on social networks (such as LinkedIn) to verify the candidate’s ability to fill the position or assess professional suitability.
Regarding data related to your application, we encourage you to keep your information up to date in your “Candidate space” on the Website.
You always have the possibility of not sharing information with us. However please note that, in certain instances, we may not be able to proceed with your application without your personal information.
We will take steps to minimize the information collected to what is necessary in relation to the purposes for which it is processed.
05. Methods of Collection
Your data may be collected through the following means:
- Direct submission: When you apply (via an open position or unsolicited application) through our career website, LinkedIn, by email, or by postal mail to the attention of an Havas entity.
- Sourcing : Sourcing means identifying candidate for a job offering. Information obtained from professional social networks, such as LinkedIn, to contact you if we believe you may be interested in our job offers. Sourcing means identifying candidates for a job offering.
06. Purpose and Legal Basis of Processing
We collect your data for the following purposes:
- To verify the candidate’s ability to fill the position or assess professional suitability;
- To administrate, manage and maintain your candidate profile;
- To conduct interviews as part of the recruitment process;
- To provide you with IT information : identify verification, password …
Data is collected exclusively for the above purposes and is not used for any other, especially commercial, purposes.
The applicable legal bases are:
- Pre-contractual measures ;
- Havas’ legitimate interest in building a pool of candidates.
07. Data Sharing
Your data may be shared with:
- The HR team members and authorized persons involved in the recruitment process.
- The managers concerned by the recruitment and other relevant supervisors.
- Other entities within Havas group which could be interested by the recruitment
- Your personal data will also be accessible to third parties, including: (i) Recruitment partner agencies working with Havas, assisting in managing candidate databases and selecting profiles. (ii) Subcontractors provider of Havas, for technical and logistical reasons, such as hosting and maintenance service providers. (iii) Connection logs and IP addresses processed via cookies solely for statistical purposes and to enhance user experience.
08. Data Retention Period
Your personal data may be retained for the following durations:
- If your application is successful, we will include your personal information in your employee file and keep it in accordance with our Employee notice Privacy Policy
- If your application is not successful, your personal data will be kept by Havas for up to two (2) years. It may be retained longer if you give us your consent.
09. Transfer of Data Outside the EU
Havas prioritizes keeping data within the European Union. If a transfer outside the EU is necessary, we ensure it is subject to appropriate safeguards in compliance with Regulation (EU) 2016/679 (GDPR).
10. Data Security
Havas implements strict technical and organizational measures to ensure the protection of your personal data against unauthorized access, disclosure, alteration, or destruction.
When a processor is involved in processing your data, it is only shared with them after obtaining formal commitments and guarantees proving their ability to meet security and confidentiality requirements. A written contractual agreement is systematically established to govern this collaboration.
11. Your Rights
Under Regulation (EU) 2016/679 (GDPR), you have the following rights:
- Right of access: You have the right to obtain confirmation as to whether or not your personal data is being processed and when it is being processed to obtain a copy of your personal data.
- Right to rectification: You can ask us for your personal data to be corrected or completed if they are inaccurate, incomplete, ambiguous and/or outdated, as the case may be
- Right to erasure: You can ask us to erase your personal data in the cases provided for by the regulations. Please note that the right to erasure of data is not a general right and that it can only be granted if one of the reasons provided for in the applicable regulations is present.
- Right to object: You have the right to object at any time, on grounds relating to your particular situation, to a processing operation concerning your personal data whose legal basis is the legitimate interest pursued by the data controller.
- Right to restriction: Limit the processing of your data in specific cases.
- Right to data portability: You have the right to data portability with regard to your personal data. Please note that this is not a general right. Indeed, all the data of all processing operations are not portable and this right only concerns automated processing, excluding manual or paper processing operations.
- Right to withdraw consent: When the data processing operations we implement are based on your consent, you can withdraw it at any time. We then stop processing your personal data without the previous operations to which you had given your consent being called into question.
- Right to provide post-mortem directives (for France only).

12. Changes to the Policy
